ERPNext Migration

Move to ERPNext With Numbers That Tie Back on Day One

The risk in a migration is not the loading, it is the reconciliation. We profile and clean your source data, map it batch by batch, and prove every total against your old system before anyone signs off.

50+ ERP and software projects. Zero failed projects since 2021.

Why It Matters

A new ERP loses trust the first time a report does not match

Once finance stops believing the stock figure, people quietly go back to their spreadsheets and the rollout is over.

Clean Before You Load

Do not carry the old mess into the new system

Most source data has the same customer three times, item codes that mean different things in different years, and accounts nobody has used since 2019. We profile all of it and hand you a report, so you decide what merges, what is renamed and what is left behind.

  • A duplicate and blank-field report before any load.
  • Naming and merge rules agreed by your team.
  • Cleaning applied in staging, never in production.

Proof, Not Assurances

Every batch has to tie back before it is accepted

We do not ask you to trust the load. Each batch is checked on record count, control totals, trial balance, stock quantity and value by warehouse, and open receivables and payables by party. Your finance team signs each one off as it goes in.

  • Counts and control totals compared to the source.
  • Trial balance and stock valuation matched.
  • Batch-level sign-off, not one approval at the end.

Where You Are Coming From

The source systems we migrate out of

We work from whatever you have, whether that is a licensed ERP, an in-house tool or years of spreadsheets.

📊
Spreadsheets
Years of workbooks with inconsistent columns, merged cells and formulas that need unpicking first.
💼
Accounting packages
Ledgers, parties and stock pulled through exports or a direct read, then mapped to the new chart of accounts.
🏢
Licensed ERP systems
Structured extracts from an existing ERP, including bills of material, routings and open documents.
🔧
In-house applications
Custom databases read directly, with the business rules behind the data documented as we go.
🔄
Older ERPNext versions
Version upgrades and instance consolidation, including moving several companies into one setup.
📁
Several systems at once
Finance in one place and stock in another, reconciled against each other before they are merged.
How It Works

From source extract to a cutover you can plan around

1
Profile
We extract the source data and report on duplicates, gaps and inconsistent codes.
2
Map and clean
You agree the merge and naming rules, and we apply them in a staging area.
3
Trial load
Batches are loaded into a test instance and reconciled against the source.
4
Parallel run
You post in both systems for a full cycle and compare the closing reports.
5
Cutover
A final extract, a scheduled freeze window, the production load and sign-off.
What Is Included

What a migration covers

🔍

Source data profile

A written report on duplicates, blanks, inconsistent codes and anything that will not map cleanly.

📋

Field mapping sheet

Every source field matched to its ERPNext destination, with the transformation rules recorded.

🧹

Cleaning in staging

Merges, renaming and standardisation applied to a working copy, never to your live records.

⚖

Batch reconciliation

Counts, control totals, trial balance and stock valuation matched before each sign-off.

🔁

Parallel run support

Help comparing both systems through a full cycle, so you switch on evidence rather than a date.

📅

Cutover plan

A timed runbook with the freeze window, the load order, the checks and the rollback route.

Why Us

Why teams choose TCB Infotech for ERPNext migration

1
Reconciliation is the deliverable
We treat matching totals as the job, not as a check at the end of the job.
2
We advise on what to leave
Carrying ten years of history is expensive and rarely useful. We say so before you pay for it.
3
Staging, never production
Cleaning happens on a copy, so your live records are untouched until you approve the result.
4
Repeatable loaders
Scripts, not manual imports, so the final cutover load is a rerun of something already proven.
5
A planned cutover
You get a timed runbook with the freeze window and a rollback route agreed in advance.
6
Proven delivery
50+ ERP and software projects across industries, with zero failed projects since 2021.
FAQ

ERPNext migration questions

What can we migrate into ERPNext?
Master data such as customers, suppliers, items, price lists, bills of material and the chart of accounts, plus opening balances, open orders and invoices, stock on hand and, where you need it, closed transaction history for reporting.
Do we have to bring across all our old history?
Usually not, and it is often the wrong choice. Most businesses load masters plus open items and opening balances, and keep the old system available read-only for older records. We help you decide what is worth carrying, because every extra year adds testing time.
What happens to duplicate and messy records?
We profile the source data first and give you a report of duplicates, blanks and inconsistent codes. You confirm the merge and naming rules, we apply them in a staging area, and only the cleaned set is loaded. Migrating the mess into a new system just moves the problem.
How do you prove the migration is correct?
Every batch is reconciled against the source before sign-off: record counts, control totals, the trial balance, stock quantity and value by warehouse, and open receivables and payables by party. You sign each batch off, not just the project at the end.
How long does a migration take?
Migration usually runs alongside the rest of an implementation over 4 to 8 weeks, driven far more by the state of the source data than by the volume. Clean data from a single system is quick. Several spreadsheets with inconsistent codes take longer.
Can we run both systems side by side for a while?
Yes, and we recommend it for at least one full cycle. You post in both, compare the reports at the end of the period, and only stop the old system once the numbers agree. It costs some duplicate effort and removes almost all the cutover risk.

ERPNext Migration Features

What Is Inside an ERPNext Migration

Loading records is the small part. Here is how we find out what your data really looks like, clean it safely, prove each batch against your old system, and sequence the cutover.

Core Features

From a source extract to a cutover with a rollback route

Profiling and Mapping

We show you the state of your data before we touch it

The first deliverable is a profile of what you actually have: duplicate parties, blank mandatory fields, item codes used inconsistently across years, and accounts with no activity. Alongside it comes a mapping sheet naming every source field, its ERPNext destination and the rule that transforms it.

  • Duplicate, blank and inconsistency report.
  • Field-by-field mapping with transformation rules.
  • An honest list of what will not map cleanly.

Staged Loading and Reconciliation

Every batch is proved before the next one starts

Cleaning and merging happen in a staging area, so your live records stay untouched until you approve the outcome. Batches then load into a test instance through repeatable scripts, and each one is reconciled on counts, control totals, trial balance and stock value before your team signs it off.

  • Cleaning applied to a working copy, never production.
  • Scripted loaders that can be rerun identically at cutover.
  • Batch-level sign-off by your own finance team.

Parallel Run and Cutover

You switch on evidence, not on a date in the plan

For at least one full cycle you post in both systems and compare the closing reports, so any gap surfaces while the old system is still there. The cutover itself is a timed runbook: the freeze window, the final extract, the load order, the checks at each step and the route back if a check fails.

  • A full cycle compared side by side.
  • A timed runbook with named owners per step.
  • An agreed rollback route before the freeze begins.
